Privacy Policy

Elemental XYZ stores the information needed to operate the Discord bot, website, verification system, clan features, ticket/support tools, moderation safety features, and owner/admin maintenance tools.

Data we may store includes Discord user IDs, usernames/display names, guild IDs, role IDs, permission-related state, support ticket data, moderation/safety records, Roblox user IDs, Roblox usernames/display names, verification timestamps, site login sessions, and OAuth data needed to complete or maintain account linking.

Message content is only used when needed for enabled bot features, such as tickets/transcripts, moderation and safety features, counting, giveaway/site previews, Do Not Chat enforcement, and AI responses when a user directly interacts with the bot. Elemental XYZ does not broadly store or index all server messages for a general message archive. Message content is not used to train machine learning or AI models.

Discord API Data is used only to provide requested bot and website features: verification, role syncing, nickname setup, ticket access, self roles, clan dashboards, moderation safety, anti-abuse checks, reliability, and support. We do not sell Discord API Data, share it with ad networks, use it for targeted advertising, or use it for unrelated profiling.

Sponsored clan ads on the website are general placements shown to site visitors. They are not targeted using Discord member data or Discord message content.

We keep data only while it is needed for the feature, safety, audit, support, or reliability purpose it was collected for. A completed deletion request removes verification links, OAuth tokens and sessions, profile/settings data, user-owned activity/leaderboard records, stored global-chat copies, and ticket transcripts owned by the requester. The requester becomes unverified.

Narrow moderation outcomes, active game bans, Do Not Chat safety records, de-identified unsafe-server intelligence, and independently collected public Roblox game/clan observations may be retained where they remain necessary for community safety, abuse prevention, audit integrity, or the operation of game moderation. A server ID and server name may remain in the unsafe-server catalogue, but the deleted user's stored Discord OAuth membership link to that server is removed.

Access-restricted recovery backups are not used as live application data and expire under a 31-day rotation. Deleted data must not be restored into production; if a recovery backup is used, completed deletion requests must be reapplied before normal service resumes.

Immediately before an approved deletion is processed, the owner maintenance PC pulls and verifies a separate, access-restricted recovery snapshot so a failed deletion can be rolled back and attempted safely again. The bot will not start deletion without a current verification receipt. This snapshot is used only for deletion recovery, is not retained on the bot server, and is automatically destroyed from the owner PC within 24 hours.

Access to stored data is restricted to the bot owner and authorized staff tools. The service uses Discord OAuth and HTTPS site access where applicable, and server access is limited to authorized maintenance access.
